Terms of service

The service

ZinqLeads forwards your practice number, texts back the calls your reception misses, follows up patient enquiries by SMS, and reports activity and recovered bookings in a dashboard and daily email. We set you up ourselves: we configure your number, tune the message style to your practice, and hand you the dashboard before anything goes live.

New practices run in review-before-send mode: the agent drafts each routine reply and nothing sends until you approve it. Fixed emergency safety replies are the one exception — they use pre-approved wording and send without waiting. You remain responsible for the clinical and commercial relationship with your patients; we make every conversation visible to you in full so you can step in at any time.

Billing and cancellation

The service is a flat monthly fee (currently £199/month) billed monthly by invoice with a 14-day payment window. There is no setup fee and no minimum term: cancel any month and we will export your data as CSV the day you ask. If your message volume is persistently above the plan's fair-use level (~1,500 outbound SMS/month) we will agree a tier with you before anything changes.

Your responsibilities

You confirm that any contact list you import consists of patients who genuinely enquired with your practice within the last 12 months, and that you have a lawful basis to contact them. You agree not to use the service to send marketing to people who never contacted your practice, and to keep your account credentials secure. We suppress any number that opts out, and you agree not to attempt to contact suppressed numbers through the service.

Data protection

For your patients' personal data you are the controller and ZinqLeads is your processor. We sign a data processing agreement (Article 28 UK GDPR) before go-live; the named sub-processors are listed in the privacy notice.

Patient messages can include health data, a special category under Article 9 of the UK GDPR. As the controller you are responsible for having a valid Article 9 condition (for a dental practice, typically Article 9(2)(h) or the patient's explicit consent); the privacy notice explains how that data is handled. Patient records are purged after up to 24 months of inactivity, or a different period agreed in your data processing agreement, and erasure requests are honoured promptly.

Liability

We provide the service with reasonable skill and care, but we do not guarantee that any particular call will be recovered or any particular message delivered — SMS delivery depends on carriers we do not control. The agent supports your reception; it is not a substitute for clinical judgement or for the practice's own urgent-care arrangements. Our total liability in any 12-month period is capped at the fees you paid us in that period. Nothing in these terms excludes liability that cannot be excluded by law.

General

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. If we change these terms materially we will give you notice by email before the change applies. Questions: hello@zinqleads.com.
